    Receptionist

    To assist in achieving this mission, NAC is currently seeking a Receptionist to join its Office Management.

    • Title: Receptionist (Full Time – 35hrs/week)
    • Department: Office Management
    • Reports to: Director of Office Services
    • Hours: Weekdays and alternating Saturdays (some evening hours possible during the week;     daytime hours on Saturdays)

    General Purpose:  The Receptionist will serve as the initial primary contact with clients, guests and other visitors via front-desk and telephone interactions.

    Duties and Responsibilities:

    • Greet all clients, visitors and staff in a welcoming manner
    • Distribute the “Visitor Passes” as directed by internal policy
    • Report security, safety concerns and issues immediately to appropriate Supervisors
    • Assist office management staff with bulk mailing and other projects as needed
    • Answering telephones/screening incoming calls
    • Distributing clear messages; written and/or orally
    • Interaction with messengers & vendors
    • Cover other reception desks in the absence of the receptionist
    • Receive incoming mail, serve as Office Services backup for sorting
    • Participate in special team projects and periodic meetings, as appropriate
    • Client/Vendor Sign-In/Out Sheet maintenance
    • Maintain “Fire Attendance Sheets” in the event of a Fire Drill or False Alarm
    • Communicate with transportation dept. for clients’ return home when needed
    • Communicate arrival of all clients with staff via phone, paging or email.
    • Communicate with Building Management at new location as it relates to visitor security
    • May assist from time to time with input of visitors only as needed and appropriate
    • May manage keys for various offices and closets in the agency at main reception desk as needed
    • Other duties may be assigned by Office Management

    Education and/ or Training (Minimum Qualification for Consideration)

    • Must have a High School Diploma or its equivalent.
    • Should have experience in general office procedures,
    • 1-2 years of Reception experience in an office environment.

    Knowledge, Skills and Abilities:

    • Able to manage a mid to large phone console(s); able to work independently; works well under pressure; legible handwriting; positive attitude, willing to learn, good communications skills.
    • Have the ability to follow written and oral instructions effectively and the ability to communicate within a team setting.
    • Spanish speaking strongly preferred
    • Must be computer literate, have good organizational skills, along with the ability to multi-task.
    • Must be detail oriented, pleasant phone manner, and proficient in general office procedures and the ability to work well with the public.
